How to Use Roundtables
Roundtables/Breakout Sessions are excellent ways of engaging your attendees. These video meeting style chat rooms allow participants to join with their microphone and webcams. It is important to check that they are using a compatible browser, which you can find details for here. In this article, we will be covering how participants join a roundtable and how they can resolve any issues they man encounter.
1
If you are joining a session that has a roundtable, you will be invited to join the roundtable with your webcam and microphone and interact with other attendees at the event you are attending
2
You should see a screen similar to the one in the screenshot below showing a preview of your webcam, a bar that indicates your sound level and a dropdown list that gives you the option to choose your webcam, your microphone and a toggle switch which can turn your camera on or off before joining the group. If you have a webcam or microphone plugged into your computer but it does not show up on the drop down please disconnect it, refresh the page then reconnect it
3
If you get an error message or a loading wheel that just spins, it could be an issue with your web browser. We suggest using either Google Chrome or Mozilla Firefox. Try loading the same page using one of these browsers or refreshing your page if you are already using one of them
4
If these steps still have not worked, you may need to switch to a different network, or you can try a different device to connect with. You may wish to try using a personal laptop as these tend to have less security/connection issues. There could be restrictions on the WiFi network you are connected to and switching to a mobile data connection can circumvent these issues, also on rare occasions we have seen issues where people with a VPN enabled cannot join and you can try turning off your VPN temporarily to try and connect
5
Once you click on join call you should then be in a room with the other attendees that have joined that roundtable session, and you will be able to see and hear them as long as they have their camera turned on and their microphone unmuted
6
This bar shown above will appear once you have joined the roundtable session at the bottom of the page. Clicking on the blue icons labelled 'Audio' and 'Video' will mute and unmute your mic and turn your camera on and off. You can tell if they are on by the icon being highlighted blue, and off if it is greyed out. You can also click on the settings cog to choose a specific camera or microphone if you have more than one connected. The attendees button will show all of the other participants of this round table. And finally, chat will open up a chat window where you can message other attendees of this round table
